What we collect from candidates

When you apply through the careers section, SWARM processes the information and documents you choose to submit:

  • Full name
  • Email address
  • Current location
  • LinkedIn profile
  • GitHub profile
  • Portfolio or personal website
  • CV
  • Cover letter, if you attach one
  • Recommendation letters, if you attach any
  • The answers you write in the application form
  • Communications exchanged with you during the selection process

To consider your application we need your full name, your email address, where you are currently based, your answer to the question about what you have built, and your CV. If you do not provide these, we cannot assess your candidacy or contact you about the role. Everything else — your LinkedIn, GitHub, portfolio, cover letter, recommendation letters and the optional question about what you would like to improve — is optional, and leaving any of it out has no negative effect on how your application is treated.

Why we process it, and on what basis

Your current application. We process your data to manage your application, assess your suitability for the position, communicate with you and run the selection process. The legal basis is that the processing is necessary to take steps at your request before entering into a contract.

Future opportunities. If you separately tick the optional box asking us to keep your application for future roles, the legal basis is your consent. You can withdraw that consent at any time by writing to privacy@swarm124.com, and withdrawing it does not affect the lawfulness of processing carried out beforehand.

Automated decisions

SWARM does not make decisions about candidates based solely on automated processing, and does not carry out profiling in the selection process. Every application is reviewed by a member of our recruitment team.

Who has access

  • Authorised SWARM personnel involved in recruitment.
  • Service providers acting on SWARM's behalf where necessary to host, store, transmit or manage your application.

Our providers act on our instructions under a contract, and we do not sell candidate data or share it for any purpose unrelated to recruitment.

Where your data is processed

Applications are stored on servers located in the European Union. Under Andorran data protection law, EU Member States are deemed to provide an adequate level of protection, so no additional safeguards are required for this storage.

Recruitment correspondence is handled through Microsoft, whose infrastructure may process data in the European Union and in other countries where it operates. For any processing that takes place outside the European Union, Microsoft relies on the European Commission's standard contractual clauses, as set out in its Data Protection Addendum. You can request a copy of these safeguards by writing to privacy@swarm124.com.

How long we keep it

Your application is kept for as long as needed to run the recruitment process for the role you applied to.

Once that process ends, your information is blocked: it is set aside and access to it is technically restricted, so that it can no longer be used or viewed for recruitment or any other purpose. It is retained in that state only for as long as we may need it to establish or defend against legal claims, and is then permanently destroyed. We may keep it longer only where a legal obligation requires it.

If you tick the optional future-opportunities box, we keep your application for up to 12 months from the day you submit it, unless you withdraw your consent sooner.

Your rights

You may exercise the data protection rights available to you, including:

  • Access to your personal data
  • Rectification of inaccurate data
  • Erasure of your data
  • Restriction of processing
  • Objection to processing
  • Portability, where applicable
  • Withdrawal of consent, where processing is based on consent

Send requests to privacy@swarm124.com. You also have the right to lodge a complaint with the Agència Andorrana de Protecció de Dades (APDA) if you believe your data has not been handled correctly.

Changes to this policy

If we change how we process personal data, we will update this page. Material changes affecting candidates will be reflected here before they take effect.
